Our service providers and suppliers:

In order to make certain services available to you, we may need to share your personal data with some of our service partners.  These include IT, delivery and marketing service providers. Abacus - Epsilon Abacus (registered as Epsilon International UK Ltd), a company that manages the Abacus Alliance on behalf of UK retailers and Charities. The participating retailers are active in the clothing, collectables, food & wine, gardening, gadgets & entertainment, health & beauty, household goods, home interiors and travel categories. They share information on what their customers buy. Epsilon Abacus analyses this pooled information to help the retailers understand consumers’ wider buying patterns. From this information, retailers can tailor their communications, sending people suitable offers that should be of interest to them, based on what they like to buy.

Experian

Transactis - Transactis 2017 Ltd. will use it to help direct marketing organisations such as ourselves better understand the likely characteristics of their customers; communicate with them more effectively; and also identify prospective customers. International transfers:

To deliver products and services to you, it is sometimes necessary for Brook Taverner share your data outside of the European Economic Area.  This will typically occur when service providers are located outside the EEA or if you are based outside the EEA.  These transfers are subject to special rules under data protection laws.

 How long do we keep your data?

We will not retain your data for longer than necessary for the purposes set out in this Policy. Different retention periods apply for different types of data, however the longest we will normally hold any personal data is 6 years.

What Personal Data Do We Collect And Hold

Brook Taverner may collect the following information about you:

- your contact details: postal address including billing and delivery addresses, telephone numbers (including mobile numbers) and e-mail address;

- your on-line browsing activities on the Brook Taverner websites;

- when you make a purchase or place an order with us, your payment card details;

 Our website are not intended for children and we do not knowingly collect data relating to children.

What Can You Do To Help Protect Your Data

Brook Taverner will never ask you to confirm any bank account or credit card details via email.  If you receive an email claiming to be from Brook Taverner asking you to do so, please ignore it and do not respond.

 If you are using a computing device in a public location, we recommend that you always log out and close the website browser when you complete an online session.

 In addition, we recommend that you take the following security measures to enhance your online safety both in relation to Brook Taverner and more generally: ­-

- keep your account passwords private.  Remember, anybody who knows your password may access your account.

- when creating a password, use at least 8 characters.  A combination of letters and numbers is best.  Do not use dictionary words, your name, email address, or other personal data that can be easily obtained.  We also recommend that you frequently change your password.  You can do this accessing your account, clicking ‘your account’, clicking ‘your data’ and selecting ‘change password’.

- avoid using the same password for multiple online accounts.

GDPR and Collection of Data

1) New customers creating an account

On creating a new Brook Taverner Account from the Dashboard there will be three tickboxes shown:

 a) Tick to opt IN to email

b) Tick to opt OUT to postal communication 

c) Tick to opt OUT to having your data shared with 3rd parties.

 2) New Customers placing orders

On placing an order on the website, the customer will see 2 tick boxes in the checkout:

a) Tick to opt OUT to postal communication

b) Tick to opt OUT to having your data shared with 3rd parties   

 Please note by a customer placing an order they'll be considered as a 'soft opt in' and thus automatically be added to the newsletter subscribers grid. An ‘unsubscribe' is available on the order confirmation email as well as all follow up emails which will allow them to unsubscribe according to the advise of the ICO which can be found here https://ico.org.uk/for-organisations/marketing/

 3) Existing customers placing orders

For existing customers there is a link to the Global Preference page that can be found ion the checkout page or on their account page https://www.brooktaverner.co.uk/customer/account/

4) Legitimate Interest Emails

Under GDPR regulations, Brook Taverner may email you based on browsing habits under the act of “legitimate interest”.  I.e if a customer places an order or browses our website, we are legally entitled to email under this aforementioned legitimate interest. Note that these emails are not marketing based, they are purely information based. For example, emails may contain information deemed important but are not marketing related, such as information about your order or any products that you may have browsed.  5) Global Preference Page 

See attached. Whenever someone wants to 'update their preferences' (i.e. from their Dashboard, from the checkout (when logged in) or clicking 'unsubscribe' on an email, they'll be taken to the attached page. They'll be four places for them to enter their email to update their preferences. (Note: the client will need to confirm the terminology of the page, the attached is just for reference for explanation)

1) To unsubscribe from out weekly marketing emails  -- This will update the Newsletter subscribers grid to an opted out status (and this information will in turn update Smartmail so we know not to email these customers anymore)

2) To unsubscribe from our personalised abandonment emails -- This will unsubscribe the customer from Scenttrail only

3) To no longer have details passed to 3rd parties - The email will be passed to go direct to ensure this customer is 'opt out' of 3rd party sharing

4) To stop receiving postal communication - The email will be passed to go direct to ensure this customer is 'opt out' of 3rd party sharing
